Office & Community Center General Information

Indian Lakes homeowners are proud of their Community Center, available to them on a first come, first serve basis. The Center offers two convenient rental areas.  The first is a 'large meeting room' that is capable of handling extravagant activities or celebrations.  The second area is the 'small meeting room' for quaint gatherings with a small number of people.  Both rooms have supporting restrooms and kitchen. 

Rental fees:
LARGE ROOM: $315.00 plus $150.00 Deposit ($465.00 due at time reservation is made)
SMALL ROOM:  $210.00 plus $150.00 Deposit ($360.00 due at time reservation is made)
                                                      
Rental Block Hours:
Monday thru Thursday $100 for any four hour block of time
Saturday/Sunday:
10:00 a.m. – 4:00 p.m.
Friday/Saturday/Sunday: 5:00 p.m. to 11:00 p.m.

Maintenance: Clean-up must be completed prior to the end of the rental block.  Due to the close proximity of homes to the center, the building and parking lot area must be vacated prior to 11:00 p.m..  Renters are urged to plan their activities to end by 10:30 p.m.in order to allow sufficient time for clean-up and departure of all guests by 11:00 p.m.

The users are responsible for leaving the building at least as clean as when they assumed responsibility (this would include the mopping of floors, cleaning of kitchen appliances, floors, and the cleaning of rest rooms, as per the check list issued at the time key is picked up).

Garbage: Garbage and other debris must not be left in or around the Community Center.  A Dumpster is available in the Center Parking Lot for disposal of trash and garbage.  In the event the dumpster is full, all trash and garbage must be removed from the area.  DO NOT stack trash and garbage outside the dumpster.

The homeowner/resident renting the center must pick up the key and must be present at the function at all times.  Should any behavioral problems arise that homeowner`s privilege to rent facility may be suspended.  The homeowner will be entitled to appear before the Board of Directors to determine the length of suspension.

Cancellations:  All cancellations of long range reservations, prior to 30 days of reservation, are subject to a $50.00 cancellation fee.  Cancellations of long range reservations made within 30 days will result in forfeiture of the Depositl fee ($150.00).  Short term reservations (within 30 days of the event) may cancel up to the close of business of the 4th day prior to the reservation and will be subject to the $50.00 cancellation fee.  Depositl fee of $150.00 will result if cancellation occurs any time within the specified 4 day period.

Rental Requirements:
Fee/ Deposit: One check to include both the rental fee and the deposit should be written made payable to INDIAN LAKES FOUNDATION.  IF PAYMENT IS MADE WITHIN 2 WEEKS OF THE RENTAL PERIOD, PAYMENT MUST BE MADE BY MONEY ORDER OR CERTIFIED CHECK. Only a check from the resident will be accepted.  Deposit fee will be returned minus any costs or fines that may be imposed or incurred by the Foundation in repairing, cleaning, or replacing items in and around the Center which were damaged by the renting homeowner, or for any infractions of any covenant, by-law, rule, policy or regulation of the Foundation.

Key Pick Up: The key will be picked up BY THE HOMEOWNER by 4:00 p.m. on the Friday preceding the scheduled activity.

Use of center - applications: The Center may be used for private functions only (i.e., birthday parties, wedding receptions, holiday parties, neighborhood parties, etc.).  The rental application shall  indicate the specific nature of planned use.  Falsification of this agreement will result in forfeiture of deposit and loss of rental privileges for not more than one year, nor less than six months.

Stove Use
: The stove/oven is for WARMING of cooked food only.  It is not to be used for cooking food.
 
Pool Area: The pool area, including the green area and picnic tables,  is NOT included in the rental of the Community Center and is OFF limits.

Rules and Procedures:
Law Breaking: The Community Center is not to be used in any manner which violates the laws of the State of Virginia or the laws of the City of Virginia Beach.  Use of the Community Center for homeowner private activities is a privilege authorized by the community.  It should be protected and not abused. 

*Note: In particular, minors (under 21) will not be allowed to consume alcoholic beverages within or around the Community Center, including the parking lot and any ILF property.  In addition, there will be no events held which require an admission fee/donation or held to make a profit.  No gambling will be allowed at any times.

Safety/ responsibility: Homeowners renting the Community Center must assume full responsibility for the safety of the Center and their guests.  An 'Acceptance of Liability/ Responsibility' form must be signed at the office prior to Center use.  Guests must be made aware of locations of exits and the location of fire extinguishers.  Renter must be familiar with phone location in the hallway and emergency numbers, (fire, police, rescue) - 911. 

*Note: Candles and other small open flames for warming food are allowed but should be carefully monitored by the homeowner responsible.

Driving on Grass/ Sidewalks: In order to maintain the landscaping and sidewalks, it is a violation to drive over the area between the parking lot and the front door of the Community Center.  All items for use in the building will be carried from the paved area in the parking lot.  Violation of this rule will result in retaining a portion of the deposit - $50.00 for each act of violation.

Malfunctions: If problems are encountered with plumbing, lighting, heating/ air conditioning, stove, refrigerator, etc., they should be noted and reported to the Office/ Manager when the key is returned.

After-Use Inspection:
On the day following the homeowners activity an `after-use` inspection will be conducted by the Manager to ensure that the facilities are clean, undamaged, and left in good condition for the next activity.  This inspection includes exterior appearance.  All discrepancies will be noted and referred to the homeowner/ renter.  Upon completion of the inspection, providing no repair or further cleaning is required, nor violations or infractions occurred, the deposit will be refunded on the next check-writing cycle.
